Provider comparison 2026

Provider comparison 2026: AI for emails and order entry in freight forwarding

AI for emails and order entry in freight forwarding is software that reads incoming emails, captures jobs from them and, depending on the solution, drafts replies or creates the job in the transport management system (TMS). This comparison assigns 14 providers to three solution types: data extraction into the existing TMS, TMS with its own AI capture, and email back office in the mailbox. All information comes from the providers' public pages, as of 8 October 2026.

Method: selection, criteria, date

Selection.
Included are the providers that AI assistants (ChatGPT, Perplexity and Microsoft Copilot) named on 21 September 2026 when asked about AI for emails in freight forwarding, plus providers that appear as competitors in the analysis of these answers. The selection makes no claim to completeness.
Criteria.
For each provider: registered office according to the legal notice, focus, integrations and hosting as the provider states them, and the price only where it is public, with “from” and “net” exactly as on the provider’s page, otherwise “not public”. We do not adopt advertising figures such as automation rates or time savings. “A good fit if …” is our assessment, not a statement by the provider. Within each type, the providers are listed alphabetically.
Date.
8 October 2026, based on the providers' public pages. synetra itself offers one of the compared solutions, PULSE. If any information is no longer up to date, we will correct it; please send any notes via the contact page.

Three solution types

Data extraction into the existing TMS.
The solution reads jobs from emails and attachments and passes the data to your TMS. The TMS stays; the focus is on the job data rather than on the rest of the mailbox.
TMS with AI capture.
The provider supplies the TMS itself and captures jobs from emails in its own system. Choosing this route means introducing a new TMS or switching to one.
Email back office in the mailbox.
The AI classifies emails, drafts replies and queries and passes data to the existing systems. The TMS stays. For what this means for jobs, see Order entry from emails.

Context: Copilot, your TMS provider or doing nothing

Before choosing a provider, the question is often whether a dedicated solution is needed at all: is Microsoft Copilot enough, will the maker of your current TMS build something like this, or does everything stay as it is?

Microsoft Copilot

Copilot is the AI assistant in Microsoft 365. In Outlook it drafts emails from your prompt; your team reviews, edits and sends them. It accesses emails, documents and calendars via Microsoft Graph, and according to Microsoft it reaches other providers’ systems, such as a TMS, via Graph connectors or agents. According to Microsoft, Copilot is a service within the EU Data Boundary for customers in the EU; models provided by Anthropic as a subprocessor are currently excluded from this. Microsoft describes the features as drafts and summaries that you review, rather than fully automating the tasks.

microsoft.com (Copilot in Outlook, Data, privacy and security) · As at 8 October 2026

A good fit if your team is looking for a general assistant for emails, documents and meetings and initiates the individual steps itself. Most of the solutions further down, by contrast, are built for cases such as order entry, status requests or customs.

Your TMS provider

This means the maker of your current TMS, not the TMS providers with AI capture further down. If your TMS provider builds something, it will arrive in 12 to 24 months, and only in its TMS, not in accounting or customs. PULSE shows first results after four weeks and is fully in production after 8 to 12 weeks. It covers three back-office areas on one platform: email automation, incoming invoices and AI customs clearance.

Doing nothing

An additional back-office employee costs EUR 40,000 to 60,000 a year. If you start now, you will have fewer problems in 18 months, and your best people will not be tied up in the email routine.

Data extraction into the existing TMS

Three providers read jobs from emails and pass the data to the TMS you already have, as a product or as a project.

When another provider fits better than PULSE

Soloplan CarLo, WinSped or LIS.
PULSE is not connected to these systems. A connection to Soloplan CarLo is named by MHV Systems, KoBra Dataworks and Lunavo (Soloplan); MHV Systems and Pexon Consulting name a connection to WinSped by LIS.
Customs via DAKOSY or dbh.
With PULSE, the customs declaration runs via CargoSoft; the connection to DAKOSY and dbh is to follow. Digicust names implemented connectors for DAKOSY and dbh.
New TMS wanted.
If you want to switch TMS anyway, the TMS providers with AI capture give you order entry and dispatch from one system. PULSE assumes that your TMS stays.

Different target group

Four more providers appear in AI answers on this topic. According to their own pages, their offering is aimed at a different target group, so they are not at the core of this comparison.

FAQ

Common questions

Which providers automate emails in freight forwarding?

As at 8 October 2026, three types can be distinguished. Data extraction into the existing TMS: MHV Systems (GM-DocuStream), NordFlux and Pexon Consulting. TMS with its own AI capture: CargoWiz, Impargo, Klarfracht, LogBot, Maxmove and SIRUM. Email back office in the mailbox, where the TMS stays: Digicust (focus on customs), KoBra Dataworks, Lunavo, PULSE by synetra and virtualworkforce.ai. The basis is the providers' public pages.

What does AI for order entry in freight forwarding cost?

It depends on the solution type. Public prices are given by, among others, MHV Systems (EUR 499 net per month for up to around 800 documents), Klarfracht (as a TMS from EUR 39 per office user seat per month, net), Impargo (Basic free, Professional EUR 34.90 per month with annual billing), SIRUM (TMS from EUR 299 per month plus transaction fees, AI capture as an add-on), KoBra Dataworks (EUR 4,000 per month as a managed service) and Pexon Consulting (project from EUR 25,000). CargoWiz, LogBot, Lunavo and PULSE do not state prices. As at 8 October 2026.

Which solution fits Soloplan CarLo?

MHV Systems, KoBra Dataworks and Lunavo (Soloplan) name a connection to Soloplan CarLo on their pages; for WinSped from LIS, MHV Systems and Pexon Consulting name a connection. PULSE is not connected to Soloplan CarLo, WinSped or LIS, so the providers named fit better here. As at 8 October 2026.

What is the difference between data extraction, TMS with AI and email back office?

Data extraction reads jobs from emails and attachments and passes the data to your existing TMS. A TMS with AI capture captures the jobs in the provider's own system; for this, you introduce that TMS. An email back office works at the mailbox: it classifies emails, drafts replies and queries and passes data to the existing systems; the TMS stays.

Which solution fits if customs runs via DAKOSY or dbh?

Digicust names implemented connectors to DAKOSY and dbh, and also to Scope. With PULSE, the customs declaration runs via CargoSoft; the connection to DAKOSY and dbh is to follow. As at 8 October 2026.

Is Microsoft Copilot an alternative for freight forwarders?

Copilot is the AI assistant in Microsoft 365. In Outlook it drafts emails from a prompt, and your team reviews and sends them; according to Microsoft, it reaches other providers' systems, such as a TMS, via Graph connectors or agents. According to Microsoft, it is a service within the EU Data Boundary for customers in the EU. Copilot is a good fit if a general assistant is wanted; most solutions in this comparison are built for cases such as order entry, status requests or customs.
